Overview
Use this article to configure:
Individual signatures for fee earners/users
An optional company signature for shared use
You’ll upload a signature image for each user (or company), then store it in DPS Config with a password for individual signatures.
⚠️ Permissions
You must be a DPS Supervisor to access and amend settings in DPSSQLConfig.
Prepare Signature Images
Before you start, prepare the signature image files. This applies to both individual and company signatures.
Image requirements
Size: 150 x 100 pixels (150 wide, 100 high)
Style: Ideally white background with black text
Format:
JPG,BMP, orPNGStorage: Save in a suitable folder on your network drive/system
For individual signatures, you also need:
A signature password for each fee earner/user (they will type this when applying their signature).
Set Up Individual Signatures
Follow these steps for each fee earner/user who needs an individual e-signature.
Prepare the signature image
Scan or capture the user’s handwritten signature.
Resize to 150 x 100 pixels and save as
JPG,BMPorPNGon your network.
Assign a signature password
Agree a password with the fee earner/user.
They will need this password whenever they add their signature to a document.
Open DPSSQLConfig
Log in to DPSSQLConfig as a DPS Supervisor.
Open the user in Users and Groups
Click Users and Groups.
Locate the user and double-click their name.
Go to the E-Signing tab.
Upload the signature image
Click Add New.
Browse to where the signature image is saved on your network.
Double-click the image file.
You will return to DPSSQLConfig and the image will show in the Current image info box.
Set the signature password
In the Signature Password field, enter the agreed password for that user.
Save the user
Click OK to save.
Repeat for other users
Repeat steps 4–7 for each user who needs an individual e-signature.
Their individual signatures can now be used in Sign & Share.
Set Up a Company Signature
You can also set up a company signature that authorised users can apply to certain documents.
1. Prepare the Company Signature Image
Obtain the company signature image (for example, a shared firm-wide signature).
Resize it to 150 x 100 pixels.
Save it as
JPG,BMP, orPNGon your network drive/system.
2. Allow Users to Access the Company Signature
In DPSSQLConfig, click Users and Groups.
Click Security Profiles.
Select the security profile for any user who should have access to the company signature.
Scroll down to the bottom of the Access Levels list.
Find Allow users to access company signature stamp and tick the box.
Click Save.
Repeat for any other security profiles that need access to the company signature.
3. Upload the Company Signature Image
In DPSSQLConfig, ensure Company is selected as the context (rather than an individual user).
Go to the E-Signing tab.
Click Add New.
Browse to and select the company signature image from your network.
A password is not required for the company signature.
Click Apply.
The company signature is now available to any user whose security profile has the Allow users to access company signature stamp permission.
